We build the complete Hyperion ecosystem of handheld readers, fixed readers, antennas, V-Series tags and self-checkout kiosks, together with the Easy Inventory and Nextwaves Cloud software platforms, serving retail, warehouse, hospitality and industrial customers in Vietnam and abroad. Hardware and software both live under one roof here, so someone joining us gets to see the full product life cycle from the chip to the end user interface.

Purpose of the role

Easy Inventory is the sales and inventory management software built by Nextwaves, currently serving household businesses and retail chains across Vietnam. The product is live in the field and is now expanding into Easy MultiStore for chain operations and EasyHub for central warehouses. The Business Analyst is the person who holds the most complete business map of the product: knowing every flow in detail, keeping the documentation aligned with reality, reconciling the product against that documentation before each release, and turning new feature requests into clear specifications for the development team.

What you will do

Learn the existing business flows

• Use Easy Inventory as a real user and walk every flow: sales, goods receipt, stocktaking, returns, reporting and permissions.
• Rebuild the map of the business flows actually running in the product, including the exception branches the current documentation does not describe.
• Work with the development team and read the interface, configuration and data to verify how the product really behaves, rather than trusting the existing description.
• Understand how Easy Inventory connects to the extensions now rolling out, Easy MultiStore and EasyHub, along with the sales channel and shipping integrations.

Standardise the documentation set

• Review all existing documents and find what is wrong, duplicated or missing against the running version.
• Build a standard document set on one consistent template, covering functional specifications, business flow diagrams and end user guides.
• Set the naming rules, versioning and update process so documentation moves at the same pace as the product instead of falling behind it.
• Write in Vietnamese, and in English for anything that goes to international customers or partners.

Test and reconcile the product

• Build test scenarios for each business flow and run them before every release.
• Compare the live product against the specification, record and classify every gap, and follow it through to closure.
• Verify the output of key reports such as revenue, inventory and discounts so the numbers match the business logic.
• Capture user reported bugs, reproduce them, and describe them clearly enough that the development team does not have to keep coming back with questions.

Take in and analyse new feature requests

• Collect requests from customers, sales, support and management through a single intake point.
• Clarify the real need behind each request and separate the problem to be solved from the solution the requester already has in mind.
• Analyse the impact on existing flows and point out the risks and exception cases that need handling.
• Write the specification for each new feature: business flow, processing rules, interface sketches and acceptance criteria.
• Set priorities together with the Solutions Director based on how many customers benefit and what it costs to build, keeping the product as simple as possible for everyday users.

Support rollouts and users

• Join rollouts for new customers, including system configuration, initial data entry and user training.
• Consolidate feedback from multiple customers into regular product improvement proposals.

Requirements

• Bachelor's degree in Management Information Systems, Information Technology, Business Administration, Logistics, Industrial Engineering or a related field.
• At least 1 year as a Business Analyst, software implementer, ERP consultant or in an equivalent role.
• Ability to write Vietnamese documentation that is clear, well structured and free of ambiguity. This is the single most important requirement of the role.
• Thoroughness and patience with detail, because most of the work is close reading, reconciliation and catching the gaps other people skip over.
• Retail and inventory knowledge deep enough to hold an argument with a user, including basics such as stock on hand, cost of goods, discounts and receivables.
• Confident with process modelling and interface sketching tools such as Draw.io, Figma, Visio or similar.
• Good English reading comprehension and working level communication.
• Willing to travel for short assignments when a project calls for it.

Nice to have

• Experience with sales or warehouse software such as KiotViet, Sapo, Haravan, POS, WMS or ERP systems.
• Experience cleaning up a messy documentation set and then keeping it maintained.
• Ability to read a database and write basic SQL to verify figures independently.
• Comfortable writing documentation in Markdown and drawing Mermaid diagrams.
• Familiarity with RFID, barcodes or other automatic identification technologies.
• Relevant certification such as IIBA ECBA, CCBA or a project management credential.
